Privacy Policy

Systara is the operational intelligence practice of TCS, a registered operating company that has traded since 2020. TCS is the contracting and billing entity behind Systara, and this policy applies to systara.co, our diagnostic and intake forms, and any related correspondence. This policy should be read alongside our Terms of Service.
What this policy covers
This is a website and general-correspondence privacy notice. It sits alongside our Data Commitment page, which governs how we handle information you share with us once you are engaged as a client and remains the primary reference for engagement data. Where the two differ on engagement-specific handling, the Data Commitment page controls.
Information we collect
Contact details you give us when you get in touch or complete our diagnostic intake form, such as your name, email and company. Operational information you choose to submit through the intake or diagnostic process, for example a description of your site, systems or the problem you want looked at. Basic website usage data collected automatically through our hosting provider, such as pages visited and general browser or device type. We do not seek out staff names, personal details of individuals at your organisation, or anything beyond what a diagnostic actually needs.
How we use it
We use what you send us to respond to your enquiry, run your diagnostic, and prepare a brief or proposal. We use basic website data to understand how the site is used and to keep it working properly. We do not sell your information, use it to train any model, or hand it to third parties for their own marketing. Once you are a client, your engagement data is governed by our Data Commitment, which is stricter than general practice: it stays inside your engagement, is never used to benchmark another client, and never appears in published material with your identity attached.
Cookies and website tools
This site is built on Squarespace, which sets a small number of cookies needed to run the site and, where enabled, to provide anonymised analytics on visits. We do not run advertising trackers or sell data to ad networks. You can control cookies through your browser settings at any time.
Who we share it with
We use a small number of service providers to run our business: website hosting (Squarespace), email and productivity tools (Google Workspace), and AI-assisted analysis tools used to help prepare briefs. These providers process data on our instruction and do not acquire rights to use it for their own purposes. We never sell, rent or trade your information, and we never pass client data to a data broker, advertising platform, or another client. We may disclose limited information if required by law, but we do not otherwise share it with third parties.
How long we keep it
We keep general enquiry and website contact information only as long as it is useful for that purpose, and remove it if you ask us to. Engagement working files are held for the engagement plus whatever record period we have agreed with you, then removed. We do not retain data indefinitely on the basis that it might be useful for marketing later.
Your rights
You can ask us at any time to tell you what information we hold about you, correct it, or delete it. You can withdraw consent to being contacted, and ask us to stop processing your information, subject to what we need to keep for legal or contractual reasons. To exercise any of these, email us at the address below and we will respond promptly.
Changes to this policy
We may update this policy from time to time as our practices or tools change. The date at the top shows when it was last revised. If we make a material change, we will update this page and, where appropriate, let clients know directly.
